Position Summary


The Assistant Director of Alumni Engagement will be tasked with supporting alumni engagement initiatives, including events, the alumni and volunteer database, Volunteer USI and Future Alumni Ambassadors, communications, alumni giving and more. This position requires attendance at all alumni and volunteer events.

Duties/Responsibilities 

  • Support efforts to strengthen connections between the University of Southern Indiana and its alumni community through events, programs and volunteer engagement. Works closely with the alumni engagement team to plan and execute on-campus, regional and virtual events that foster meaningful relationships and encourage alumni involvement.

  • Collaborate with colleagues on planning and execution of alumni events, which may include Homecoming, Alumni Council and Volunteer USI quarterly meetings, networking events, golf scrambles, class reunions, affinity gatherings and more. Analyze event outcomes and recommend improvements for future programming.

  • Develop and implement formal strategic communication initiatives, processes and procedures to ensure positive connections between the University and alumni, volunteers and students. Communication methods include website design and maintenance, e-newsletters and other email messaging, invitations, announcements, social media accounts and mailings.

  • Collaborate with campus partners (marketing specialists, faculty, athletics, Career Success Center, Student Life Office and more) to create mutually beneficial engagement opportunities.

  • Plan and coordinate activities of the Volunteer USI Advisory Council and its committees. This includes the volunteer recognition program, which consists of the Annual Volunteer Recognition Dinner and Volunteer of the Year awards.

  • Manage Mentor Match program. Design, launch and maintain initiatives that connect students with alumni for professional development.

  • Serve as an advisor to the Future Alumni Ambassadors, the student advisory group for University Development, which is tasked with promoting the positive impact of charitable gifts to USI, establishing traditions and creating a sense of unity between past, present, and future generations of USI. Assist students in the implementation of all programs and provide onsite support as needed.

  • Utilize the alumni database to its fullest extent while managing information requests. Assist in the maintenance of alumni records in Blackbaud RE NXT database.

  • Prepare budgets and reports for Alumni Council, Volunteer USI and Future Alumni Ambassadors.

  • Develop alumni giving program strategy, execution and analysis with an emphasis on affinity segmentation. Analyze data to advance qualified alumni into the major and planned gift channel for further cultivation by gift officers.

  • Assist in the responsibilities of the Director of Alumni Engagement and Volunteer USI.

  • Other duties as assigned.

Required Knowledge and Skills

  • Bachelor's degree.

  • Strong alignment with the philosophy and mission/values of the University of Southern Indiana.

  • Strong oral and written communication skills.

  • Well organized, able to prioritize and ability to confidently troubleshoot during public events.

  • Comfortable with public speaking to small to medium groups.

  • Ability to work effectively in a team-oriented environment.

  • Energetic, coachable, outgoing, with a positive attitude.

  • Working knowledge of Word, Excel, Outlook, PowerPoint and data entry.

Preferred Knowledge and Skills

  • 2-5 years of work experience in alumni relations and fundraising.

Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Evening and weekend hours occasionally required to meet administrative responsibilities and/or attend meetings and special events sponsored by Alumni Engagement and Volunteer USI.
  • Occasional travel required.

About the Department

Alumni Engagement and Volunteer USI develops opportunities for alumni, students and volunteers to remain connected and engaged with USI. The office provides administrative support to the USI Alumni Council, Volunteer USI and Future Alumni Ambassadors (student advisory group). The office reports to the Vice President for Development and works closely with the USI Foundation to attract and acquire charitable gifts to support and sustain the goals of the University of Southern Indiana.
