Position Summary

Primary communications contact for the Registrar’s Office by serving as the main point of contact for inquiries to the office email account. This position will assist with all office publications and maintain the Registrar’s Office website.

Duties/Responsibilities 

Keep updated on all university policies and procedures applicable to students, university employees, and external constituents who may contact the Registrar’s Office. This includes, but is not limited to, processes and procedures related to academic records and transcripts, academic programs and course offerings, online/special programs and agreements, registration and schedule changes, refund and drop deadlines, myUSI/Self Service and other software applications, grades and grading policies, graduation requirements and degree conferral, and more.

Monitor Registrar’s Office email inbox, interpret applicable university policies relating to correspondence, apply rules to specific requests, and tactfully and professionally represent the university by providing a timely response to a variety of inquiries from both internal and external entities. Delegate basic inquiries to support staff.

Develop and maintain all aspects of the USI Registrar’s Office website, ensuring current information, user-friendly navigation, and engaging content.

Represent the Registrar’s Office at events such as the Major & Minor Fair, Rock N’ Registration, and other events as determined by the Registrar. Additionally, create promotional materials as needed.

Create and/or update various academic and administrative policies and procedures, and supervise their publication throughout the campus.

Create and supervise a communication plan to streamline student communications, including, but not limited to, enrollment and registration reminders throughout the academic year (emails or postcards, as applicable).

Supervise the distribution of reminders to students regarding priority registration dates and hold status, and to degree candidates regarding the degree conferral process/timeline, diploma availability, and other related information.

Collaborate with the university's marketing and communications division to ensure all materials adhere to brand guidelines and visual identity standards

Calculate the semester’s course refund schedule. Publish and distribute office calendars and schedules, including, but not limited to, refund schedule, office calendars, and important dates for faculty.

Ensure on-time grading compliance by creating and distributing instructions and reminders to all faculty.

Develop, implement, and manage training programs for students, staff, and faculty, focusing on retention, skill enhancement, and upgrades to specific software/processes.

Other duties as assigned.

Required Knowledge and Skills

Bachelor’s degree in marketing, communications, or related field.

Must be an effective communicator and demonstrate excellent administrative and human interaction skills, especially in working effectively with both the diverse needs of the academic community and the area of student affairs.

Must possess a high level of attention to detail and have expertise in editing and creating written material.

Must prioritize multiple competing projects and manage time and resources accordingly to complete responsibilities in a timely and efficient manner.

Working knowledge of Microsoft Office Suite and virtual meeting platforms (Zoom, Teams, etc.).

Ability to work individually and lead others.

Preferred Knowledge and Skills

Experience in a university setting preferred.

Familiarity with the Banner student database system and self-service products, website design, and electronic publication software is preferred.

Strong working knowledge of Family Educational Rights and Privacy Act (FERPA) preferred.

Functional Requirements

Remaining in a stationary position at a desk or workstation for extended periods of time for the majority of assigned duties.

Occasional physical access to other workstations, other departments, and meeting rooms as required for events, meetings, and training purposes.

The use of computers and computer systems (hardware and software) to set up functions, enter data, create documents and spreadsheets, and process information.

Effective problem solving and the presentation of a professional demeanor while meeting deadlines and achieving critical outcomes, even under demanding conditions such as multiple priorities and short-notice deadlines.

The presentation of a consistently professional demeanor at all times, even in difficult, negative, or frustrating situations.

Regular Work Hours/Travel Requirements

Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.

Irregular work hours are required to complete administrative responsibilities.

Occasional travel required.
