Position Summary

The Kinney College of Nursing and Health Professions is seeking a Senior Administrative Assistant to provide support for the Gerontology, Health Informatics and Information Management and Masters in Health Administration programs.

Duties/Responsibilities 

  • Provide administrative and instructional support to programs chairs and faculty.

  • Greet students and visitors to the office, providing assistance and information as needed.

  • Establish and maintain student files and databases to facilitate student selection and orientation.

  • Assist in development, maintenance and improvement of the student information system by establishing files on new students; entering information in databases; preparing current lists, mailing labels, and statistical data for reports.

  • Coordinate inventory of program supplies, materials, resources, and classroom equipment. Order new supplies and equipment through university procurement systems and place in inventory.

  • Respond to written and oral queries about the program.

  • Contribute to the update of student and faculty handbooks.

  • Coordinate course scheduling, section changes, room scheduling, and book orders.

  • Assist in maintaining program web pages.

  • Assist in preparation for special events/projects for students, staff, and faculty.

  • Work along with other administrative assistants in the college to provide assistance when needed.

Required Knowledge and Skills

  • High school diploma or GED and two years office or comparable work experience.

  • Knowledge of computer applications including spreadsheets and databases required.

  • Strong organizational, interpersonal, customer service, and time management skills required.

  • Strong attention to detail and the ability to multi-task.

  • Strong problem solving abilities required.

  • Spirit of cooperation and ability to work as a team required.

  • Ability to work with a diverse group of internal and external individuals required.

Preferred Knowledge and Skills

  • College degree or some college coursework.

  • Knowledge of Banner system a plus.

Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. Hours may be adjusted for program/center coverage needs.
  • An occasional change in schedule and/or overtime may be required.
