Position Summary
The University of Southern Indiana's College of Liberal Arts is accepting applications for Senior Administrative Assistant to provide support two of our departments, Psychology and Communication and Media.
Duties/Responsibilities
- Provides administrative support for department chairs, faculty, students, and administrative staff to provide excellent student service, achieve recruitment and retention initiatives and advance the mission of the College of Liberal Arts and USI.
- Provides available data as requested and assists in assembling information for departmental and college reports or presentations including, but not limited to, any accreditation, assessment, scholarships, recruitment, and retention purposes.
- Provides receptionist service by greeting visitors, answering telephone, routing mail, and performing gatekeeping functions.
- Answer inquiries provide guidance and refer inquirers to appropriate departments, university units, faculty and advisers as needed.
- Assist with the registration process by assigning departmental advisors for students as needed and assisting with students’ registration procedures and class schedule changes. Maintains student files as applicable.
- Assist in the preparation of academic schedules and ongoing schedule modifications.
- Assist in the preparation of faculty schedules and load reports.
- Assist in ordering office supplies and class materials and maintaining inventory of supplies.
- Perform monthly reconciliation of credit card purchases.
- Assist with event planning, including reserving event spaces, ordering catering, ordering promotional materials, etc.
- Attend meetings and when appropriate, take minutes for distribution to faculty and future accreditation reviewers.
- Other duties as assigned.
Required Knowledge and Skills
- High school diploma/GED required.
- Familiarity with Outlook, Word, PowerPoint, and Excel programs required.
- Strong verbal and written communication skills required.
- Excellent customer service skills are required.
- Strong organizational skills and attention to detail required.
Preferred Knowledge and Skills
- College course work preferred.
- Two years’ work experience in an office setting preferred.
- Experience with Blackboard, Banner, and Cognos preferred.
Regular Work Hours/Travel Requirements
- Standard work hours are Monday through Friday, 8 a.m. to 4:30 p.m.
- Occasional overtime may be required.
