Position Summary
As part of a team approach, this position assists the Director of New Student and Transitional Programs in the planning, development, coordination, and supervision of all aspects of the New Student and Transitional Programs department. The Assistant Director has primary responsibility for the continued development and implementation of the fall and spring transition programs for new students, expanded transition and retention programs and initiatives for new students, the supervision of orientation and welcome week leaders, and creating communication content for new students and parents. The assistant director assists in the design and implementation of the orientation program.
Duties/Responsibilities
- Facilitate the orientation and transition of new and transfer students into the institution and the integration of new and transfer students into the social, cultural, and intellectual climate of the University through various programs, including but not limited to Welcome Week, Welcome Back Week and First Year at USI programming.
a) Develop, coordinate, and implement Welcome Week events, including working with other University departments and student organizations on events to ensure their success.
b) Coordinate and implement our component of Welcome Week/Housing Check-in.
c) Assist in the development and implementation of New Student Convocation.
d) Develop, coordinate, and implement programs to engage students during their first forty days on campus.
e) Responsible for the creation and distribution of marketing and print material for Welcome Week.
f) Assist in the implementation of “Welcome USI Student” initiatives.
- Assist the Director in the planning and coordination of the University orientation programs, with specific responsibility for the following:
a) Develop and coordinate programs specifically for transfer and adult students.
b) Responsible for the development of all orientation leader led portions of orientation.
c) Coordinate the resource fair that occurs during on-campus orientation.
d) Responsible for facilitating the creation and set-up of all signage by the orientation staff.
e) Coordinate evening activities (Night in the Nest) for students staying on-campus as part of their orientation experience.
- Responsible for the recruitment, selection, training, and supervision of students that assist in the implementation of transition programs. This includes orientation leaders (40-45 students) and student assistants (4-8) that are paid, and the Welcome Week leaders (60-80 students) that are volunteers.
a) Mentor and train student Orientation staff, fostering a strong sense of community and responsibility, with expectations commensurate to role and experience level (Orientation Assistants, Orientation Leaders, Orientation Coordinator, and Assistant Orientation Coordinator).
b) Develop all work schedules to provide adequate coverage of office and programs. Monitor hours to remain compliant with University policy. This includes coverage for academic breaks and summer.
c) Coordinate with Student Financial Assistance (work-study) and Human Resources on all required paperwork to get student workers on University payroll.
d) Process payroll for student workers every two weeks.
e) Design and implement a training program to equip student staff for their leadership roles in the office and in programs.
f) Coordinate recognition programs for all staff and volunteers.
- Responsible for the creation and distribution of online newsletter(s) and social media posts for the office.
a) Responsible for the creation and distribution of an online newsletter(s) for new students.
b) Responsible for the creation and distribution of an online newsletter(s) for families.
c) Responsible for using social media to engage new students, including the management of all related media.
- Assist in the planning, developing and implementing of Parent and Family programs and services, including but not limited to:
a) Create and produce the monthly Parent and Family Newsletter and assist with creating, writing, and editing publications and website content.
b) Responsible for using social media to engage parents and families, including the management of all related media.
c) Assist in the coordination and implementation of Parent and Family programs including convocation and family dinner, family days and family weekend.
- As a member of the New Student and Transitional Programs team, this position will:
a) Assist in conducting ongoing assessment, research, and evaluation of departmental programs and utilize the findings to shape program efforts and the preparation of a variety of reports.
b) Assist in the administrative responsibility for budget development and management of budgets for programs under the responsibility of this position.
c) Represent New Student and Transitional Programs as requested.
d) Coordinate select departmental programs, including but not limited to educational programs.
e) Coordinate the department’s promotional activities at admission events and other fairs.
f) Responsible for the development of goals and objectives, on behalf of the department, for the areas of responsibility and assist in implementing the overall departmental goals and programs.
g) Supervise student employees within the department.
h) Serve on University committees and represent the University at selected local, state, regional, and national professional conferences and meetings.
i) Contribute on the national level to the study of New Student and Transitional Programs through the involvement with relevant national, regional, and local organizations.

Required Knowledge and Skills
- Master’s degree in student personnel, counseling and development, higher education, or similar field.
- Two years’ professional experience in higher education with focus on program planning.
- Knowledge of the basic principles and theories of student development and educational administration, and public relations are.
- Understanding of the cultural, social, educational, and recreational needs of the campus community.
- Ability to stimulate student interest and involvement.
- Ability to work with and relate to a diverse public.
- Strong organizational, time management, written and verbal communication skills.
- Ability to manage multiple demands while in a setting involving high interaction with students.
- Working knowledge of Microsoft Office Professional (Excel, Word, PowerPoint, Outlook, and Publisher), Canva, CRMs, and social media.
Preferred Knowledge and Skills
- Experience in either orientation administration and programming or leadership development.
- Previous student supervisory experience.
- Understanding of institutional business and management procedures.
- Experience in the development and presentation of workshops, classes, and training.
Regular Work Hours/Travel Requirements
- Standard office hours are Monday through Friday, 8:00 a.m. to 4:30p.m.
- Frequent irregular hours, including evenings and weekends, may be required to meet departmental deadlines and for program implementation.
- Occasional travel will be required.
