Position Summary

Assist Human Resources management in the administration and management of the university employee benefit programs.

Duties/Responsibilities 

  • Administer university FMLA, PLOA and any other leaves - Administration of form distribution, review of forms received, form processing, records maintenance, and notification generation. Prepare appropriate forms for approval (or not) as applicable. Meet on a regular basis with Payroll staff to review faculty and staff leaves regarding leave specifics to ensure pay is accurate and correct. Keep managers informed of approved dates and work restrictions if applicable.

  • Administer university’s short and long term disability benefit program - Administration of all form processing, records maintenance, and notification generation for short and long term disabilities. Run active disability reports monthly.

  • Administer the university’s workers’ compensation benefit program – reviewing each claim individually for completeness, maintenance of all related records, claims and billings. Follow-up regarding treatment, ability to work, and any work restrictions working closely with management staff and worker’s compensation carrier staff. Maintain accurate and timely OSHA Log. Prepare year-end OSHA report and ensure timely posting following legal requirements.

  • Administer university’s COBRA benefit program.

  • Identify and maintain records on active employees in self-pay status for insurance contributions. Run report for employees in no-pay status after each pay. Send invoices for premiums owed to accounting and/or set up extra premiums owed through payroll. Follow-up with late payment letters and/or cancellation of insurance coverage accordingly.

  • Administer university’s unemployment insurance program - Administration of all claim form processing, review and records maintenance for university unemployment compensation claims, and related requests for information and reporting. Review monthly bill for accuracy and maintain record of detailed information.

  • Maintain a comprehensive understanding of Banner HR. Assist in the identification and correction of HRIS data errors generated from internal and external sources. Assist Benefits Manager with the creation and maintenance of training manuals as well as creation and maintenance of the university’s benefit policies and procedures.

  • Develop, implement, and maintain various benefit program (including workers’ compensation, leaves of absence, COBRA) recordkeeping systems in HRIS. Develop additional automated benefit recordkeeping functions with the direction and assistance of the benefits manager. Coordinate the communication of relevant information with Human Resource staff regarding system changes and improvements.

  • Administer the retirement termination process and preparation of materials (i.e., Benefit Summary) for support employees eligible for retirement from the University. Coordinate retirement process and procedures with appropriate employment, benefits, and payroll staff.

  • Assist Benefits Manager with annual renewal of benefit and insurance contracts through accurate and timely information gathering and reporting.

  • Assist benefit staff with mass data changes in HRIS required for accurate employee enrollment and recordkeeping of various benefit programs, e.g., fall faculty new hire and open enrollment data.

  • Act as back-up to the Benefits Manager and Benefits Coordinator including processing payroll data and completing benefit deduction forms, new employee orientations, and maintaining benefits administration platform. Assist in the administration of various employee benefit programs as needed.

  • Assist Benefits Manager with the maintenance and development of the University Human Resource website.

  • Serve on Wellness Fair committee to plan, organize and work the university’s annual Wellness Fair.

  • Manager HR Leaves email account.

  • Assist all employees daily, via telephone, virtual appointments, e-mail, and walk-ins.

  • Other duties as assigned.

Required Knowledge and Skills

  • Bachelor’s degree with at least two years of human resources experience or completion of some college coursework with at least four years of human resources experience.

  • Experience must demonstrate the ability to apply legal, technical, or other similar bodies of knowledge.

  • Proficiency with Microsoft Office software required, i.e., Word, Excel, Access, Outlook, and PowerPoint. Internet proficiency.

  • Excellent oral communication and effective listening skills, suitable to one-on-one and small group interactions.

  • Strong written communication skills.

  • Excellent interpersonal skills, diplomacy, and the ability to work effectively with a diverse group of functions and individuals are required in all functions of job.

  • Refined organizational and time management skills with the ability to reset priorities as needed and to meet deadlines.

  • Demonstrated ability to exercise sound judgment in execution of job functions is required for this job.

  • Strong decision making, analytical and problem solving skills required. High level of accuracy, attention to detail and numerical aptitude.

  • Ability to be self-motivated, to work independently with limited supervision and to maintain a high level of confidentiality.

Preferred Knowledge and Skills

  • Knowledge of employee benefits and insurance laws/regulations.

Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday 8:00 a.m. until 4:30 p.m.
  • Irregular or extended hours as required to meet administrative responsibilities.
  • Occasional travel may be required.
