Position Summary

The University of Southern Indiana is accepting applications for Staff Accountant.

Performs reconciliations, analysis, and other accounting functions for the University accurately and in a timely manner. Assists with month-end and year-end closing processes. Prepares various reports for senior management and other internal and external entities.

Duties/Responsibilities 

General ledger:

  • Reconcile various general ledger accounts monthly. Facilitate prompt resolution of issues and preparation of journal entries to clear balances.
  • Reconcile manual accounts receivable and manual accounts payable balances monthly.
  • Monitor various suspense and clearing funds and accounts monthly. Facilitate prompt resolution of issues and preparation of journal entries to clear balances.
  • Coordinate annual inventory of Historic New Harmony Museum Shop merchandise. Reconcile physical inventory with accounting records. Evaluate relevant accounting ratios and use them to assist Museum Shop management in developing strategies to achieve objectives.
  • Reconcile prepaid expenses quarterly.

Revenues and subsidiary systems:

  • Reconcile ticket and concession sales from various athletic and theatre events. Identify and resolve variances between gross sales and cash receipts. Prepare management reports and provide summary and analysis.
  • Reconcile Athletics sponsorship revenues. Compare sponsorship agreements with amounts billed to ensure timely and accurate recording of revenues in the correct accounting period. Identify exceptions and work with Athletics budget contact to resolve promptly.
  • Reconcile ticket sales from student activities events. Identify and resolve variances between gross sales and cash receipts.
  • Review select accounts receivable invoices. Ensure supporting documentation demonstrates validity and accuracy of claims.

Financial reporting:

  • Coordinate preparation, review, and submission of annual reports to US Department of Education as required by the Equity in Athletics Disclosure Act and National Collegiate Athletics Association.
  • Prepare financial reports of restricted fund activities as required by granting and governmental agencies. Identify and report exceptions to assistant director of university accounting.
  • Analyze account and program code activity quarterly according to standards established by assistant director of university accounting.
  • Prepare periodic visual reports to summarize data, identify trends, and provide information to support decision making. Use financial data to recognize problems and recommend improvements.

Other accounting functions:

  • Assist with month-end and year-end closing process. Ensure accurate postings of transactions. Prepare original journal entries, corrections, accruals, and deferrals including proper supporting documentation and supplemental information to substantiate the accuracy and appropriateness of entries.
  • Reconcile various University bank accounts. Identify and resolve variances between bank and University records.
  • Facilitate creation and maintenance of chart of accounts elements (funds, organizations, accounts, program codes, or activity codes). Compile supporting documentation to justify changes.
  • Research accounting standards and guidelines and make recommendations for accounting treatment of unusual or new transactions.
  • Work with senior management to develop and implement internal control procedures for the efficient operation of University departments.
  • Other duties as assigned.

Required Knowledge and Skills

  • Bachelor's degree in accounting.
  • Proficiency in financial reporting and analysis, including an aptitude for accounting information systems.
  • Strong oral and written communication skills with a demonstrated ability to effectively convey financial information to diverse audiences in various academic and administrative units.
  • Working knowledge of word processing, spreadsheet, and electronic mail programs.
  • Attention to detail and strong problem-solving skills.
  • Excellent organization skills in addition to the ability to coordinate multiple tasks, determine priorities, work independently, and complete projects.
  • Exercise initiative, resourcefulness, and good judgement.

Regular Work Hours/Travel Requirements

  • Standard office hours are 8:00am to 4:30pm, Monday through Friday.
  • Occasional irregular or extended hours are required.
  • Occasional local and regional travel may be required.
